POSITION SUMMARY:
Reporting to the Director of Libraries, the Library Administrative Assistant will provide administrative support to the Director of Libraries and staff at the three University Libraries (Rose Hill, Lincoln Center, Westchester). They will assist the Director of Libraries with financial projections and reporting. They will work independently, performing a wide range of duties. This position requires excellent communication and interpersonal skills, and the ability to provide information and support to the library staff, University faculty and personnel, and external contacts. The Library Administrative Assistant must be able to prioritize projects and work with exceptional attention to detail and accuracy and confidentiality.
ESSENTIAL FUNCTIONS:
- Provides administrative and operational support to the Director of Libraries
- Manages the day-to-day office operations, prioritizing and resolving issues as necessary
- Tracks, and reconciles all Library expenditures to University’s system; follows up with accounts payable on any billing inquiries from vendors
- Reviews invoices for accuracy and control Library’s credit cards
- Serves as initial contact for Director of Libraries with Library staff, University constituents and external contacts
- Serves as Library liaison to faculty members and administrators, including VPs and Deans
- Orders materials, equipment, and supplies through Strategic Sourcing or external vendors
- Organizes and plans programs, events, meetings, and conferences; coordinate with facilities, catering, security, and other stakeholders, and issuing official information or invitations as needed
- Arranges travel and itinerary support for Director of Libraries
- Creates and sends official Library correspondence
- Assists with implementing policy and procedures for the library
- Performs other duties as assigned
REQUIRED QUALIFICATIONS:
- B.A. or B.S degree
- Minimum of 1 year experience in a library or an academic setting
- Expert knowledge of MS Office and/or G-Suite applications
- Strong sense of integrity with the ability to handle confidential and sensitive information with discretion
- Detail oriented with a proven record of accuracy and seeing projects through to fruition
- Demonstrated ability to work both independently and collaboratively in a fast-paced environment
- Strong analytical and problem-solving skills
- Excellent organizational and time management skills; able to prioritize and complete multiple tasks
- Excellent communication skills
- Motivated self-starter, collaborator, and team player with superior customer service skills
- Reliable, proven team player with a positive attitude, and efficient solution-oriented demeanor
- Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education
